How to know if someone opened your Gmail email
You sent the proposal, the invoice, or the job application, and now there is silence. Knowing whether it was opened tells you whether to wait or to follow up. Gmail can tell you in some cases, and a tracking extension can cover the rest, with limits worth understanding first.
Option 1: Gmail's built-in read receipts (work and school accounts only)
Gmail has read receipts, but only on Google Workspace accounts where an administrator has turned them on. Personal @gmail.com accounts do not have them. If yours does:
- Write your message as usual.
- Open the three-dot menu at the bottom of the compose window and choose Request read receipt.
- Send it. If the recipient agrees to send a receipt, you get an email back when they open it.
The catch is that the recipient is asked and can say no, and many people do. It is reliable when they say yes and silent when they don't.
Option 2: Open tracking for any Gmail account
Open tracking works a different way. A tiny invisible image is added to your email. When the recipient's email app loads images, it fetches that image, and the fetch is recorded as an open. Most newsletters and sales tools work like this.
MailPing is our Chrome extension that does this inside Gmail:
- Add MailPing to Chrome. It is free.
- Open Gmail in Chrome and compose a message. Click the MailPing button in the compose toolbar to track that message.
- Send it. When it is opened, you get a browser notification (while Gmail is open in Chrome), and the message shows as opened in MailPing. Writing the email yourself does not count as an open.
- Follow-up reminders are on by default: if a tracked email is still unopened after 3 days, MailPing reminds you. You can change the delay or turn reminders off in the MailPing popup.
The free version tracks up to 10 emails a month.
The limits of open tracking (read this before you rely on it)
- Blocked images mean no signal. If the recipient's email app does not load images, the open is not recorded. "Not opened" really means "not detected."
- Some apps open everything automatically. Apple Mail's privacy protection loads images for every message in advance, so an email can look opened when nobody read it. Treat a single instant open with some caution.
- It shows opens, not reading. An open means the email was displayed, not that it was read carefully.
- Only emails you choose are tracked, and only in Gmail in Chrome.
Use it considerately
Open tracking is standard in business email, but the recipient is not told it is there. It works best as a nudge for your own follow-ups, like knowing a quote was opened three times, rather than as a reason to pressure someone who hasn't replied. If you need a definite answer, ask for one in the email itself.
MailPing is free to install. Add it to Chrome or read how it works.
